Keep a proforma distinct from a final invoice
A proforma invoice is commonly a preliminary commercial document or quote-like statement and may not be the final tax invoice, payment receipt, customs declaration, or accounting entry. Label it clearly, use an appropriate document number and validity date, and confirm what the recipient, carrier, customs broker, or accounting process actually requires.
State currency, tax, shipping, and trade assumptions
The total can change materially depending on whether prices include tax, which tax rate applies, how shipping is handled, and which party bears duties or transport risk. Keep currency and commercial terms visible. For cross-border shipments, confirm any required Incoterms, country of origin, classification, and customs values separately.
Make line items independently auditable
Each item should have a clear description, quantity, unit price, and any relevant SKU or reference. Check that discounts and tax are applied on the intended basis and that totals reconcile after rounding. Avoid hiding several unrelated goods inside one vague line when the document will support purchasing, fulfillment, or customs review.
Review the exported document, not only the editor
Local drafts and snapshots are useful for continuity, but the printed or saved PDF is the artifact another person receives. Open that output and check page breaks, addresses, dates, line wrapping, totals, currency, notes, and signatures or approval fields if used. Remove sensitive drafts from a shared browser profile when they are no longer needed.
